Permissions, roles and guests

Who can see and change what, and how to give a client access to one project and nothing else.

The four roles

  • Owner — billing, workspace deletion, everything below
  • Admin — members, permissions, workspace settings, every project
  • Member — creates and edits work in projects they belong to
  • Guest — sees only the projects explicitly shared with them, and is free

Project visibility

Every project is either workspace-visible (any member can find and open it) or private (only people you add). Private is the exception, not the default — most teams lose more to work nobody could find than to work the wrong person saw.

Giving a client access

  1. Invite them as a Guest from Settings → Members.
  2. Open the project → Share → add the guest.
  3. Choose Comment-only if they should read and discuss but not move work.
  4. Hide any field they should not see under Project → Fields → Guest visibility.

Guests never see other projects, member lists, or anything in search outside what you shared. They do not consume a seat.
